Sponsorship Guidelines

For 130 years, Sentara Healthcare has proudly lived its mission to improve health every day. This is accomplished, in part, through our commitment to our partnerships within our communities. Sentara teams up with organizations to fund numerous programs and events throughout all of our service areas in Virginia and North Carolina. Sentara supports a broad scope of community involvement including but not limited to education and prevention activities as well as other important initiatives that inspire, empower and support our communities.


SentaraCares Focus


Eligibility Requirements:

  • Event theme and purpose must align with Sentara mission and core values of promoting health and wellness and addressing social determinants of health.

  • Sponsorship applicants must be 501c3 organizations and provide most recent IRS 990 Form upon request, exclusions apply**

  • Only one application per organization will be reviewed each calendar year. If your organization receives a grant or sponsorship from Sentara, Optima, or Virginia Premier, it is not eligible for a sponsorship award from any location (including hospitals) in the same calendar year.

  • Prior sponsorship awards do not indicate a guarantee for future funding.

  • Please fill out the online application completely.


Criteria

The funding must meet the following criteria:

  • Benefit a 501c3 organization that promotes medical, physical, mental and emotional health, or safety and wellness

  • Promote community cohesiveness, cultural enrichment or cultural diversity

  • Demonstrate collaboration and coordination with other community organizations

  • Provide intervention for social determinants of health

  • Please note that Sentara Healthcare will not sponsor individuals, tournaments, organizations already supported by our employee giving, political and labor organizations, little leagues, sports teams or booster clubs, alcohol, tobacco or gambling-themed events.

Awardees

  • Upon request, awardees may be asked to provide a report that includes how many lives were touched during the event or be asked for information we can share with our communications team

  • Approved sponsorship payments will be processed via check once an invoice with the event name, award amount and organization’s EIN, W-9 and supplier verification forms are submitted.

Important dates:  

  • Applications must be submitted at least 60 days in advance of the event.

  • We will process the applications within 45 days of the initial application. 

  • Approvals will be communicated via email.

Conflict of Interest

As part of our process, Sentara requires all persons involved in any grant or sponsorship selection to disclose any potential conflict of interest, real or apparent, between an applicant and Sentara. 

A potential conflict of interest exists when an applicant or any person (including any family member) associated with an applicant is involved in, or has an interest in, a transaction, arrangement, relationship, or other activity that may compromise, or have the appearance of compromising, an applicant’s or person’s impartiality and ability to exercise independent judgment in Sentara’s best interests. 

Potential conflicts of interest may include, but are not limited to, volunteer roles, employment roles, officer roles, board roles, ownership, and/or an investment interest.

Potential conflicts do not exclude eligibility but must be documented and reviewed.
